This role is pivotal in providing comprehensive support to the President and Executive Leadership, ensuring efficient operation of the office.
Responsibilities include managing daily administrative tasks, coordinating schedules, and facilitating communication.
The Executive Assistant also plays a key role in planning and executing corporate events, maintaining community relations, and overseeing various projects and office functions.
Key
Responsibilities:
Administrative Support:
Manage day-to-day activities for the President and Executive Staff, including handling mail, managing phone calls, coordinating calendar appointments, maintaining contacts, preparing for meetings, and managing expenses.
Act as the first point of contact for internal and external stakeholders.
Event Planning and Coordination:
Organize and coordinate corporate events, office parties, and meetings, including but not limited to monthly birthday parties, quarterly service award receptions, annual picnics, and Christmas parties.
Ensure seamless execution of events from planning to completion.
Community Relations:
Lead and coordinate community outreach projects, such as office blood drives, community walks, and annual charity campaigns.
Engage in committee work to support community relations efforts.
Expense Management:
Oversee and manage expenses related to executive support and office operations.
Ensure accurate management of invoices and financial records.
Team Management:
Supervise receptionists, including approval of timesheets and conducting annual reviews.
Provide oversight and guidance on daily tasks and projects.
Special Projects:
Support departmental needs with special projects, manage company-wide announcements, and oversee service award and scholarship programs.
Additional responsibilities as assigned by executives.
Education and Experience Requirements:
High School diploma or equivalent required.
Prior management and/or supervisory experience.
Proficiency in Microsoft Office Systems.
Required Skills/Abilities:
Strong verbal and written communication skills.
Excellent organizational skills and attention to detail.
Strong analytical and problem-solving skills.
Ability to prioritize tasks and to delegate them when appropriate.
Ability to act with integrity, professionalism, and confidentiality.
Preferred
Qualifications:
Bachelor's degree preferred; relevant experience may substitute.
Experience in the tanker industry and familiarity with DOT and applicable federal regulations Work Environment and Physical Functions:
Office Setting:
This position is primarily located in a professional office environment.
Physical Demands:
The role generally requires sitting for extended periods, frequent use of a computer, and engagement in standard office work which may require lifting up to 25 pounds.

Occasional travel may be necessary for company events, training sessions, or inter-departmental collaboration.
